Our DIVISION OF GASTROENTEROLOGY has an outstanding opportunity for an OFFICE ASSISTANT 1 - this will be a fixed duration appointment for approximately 11 months. Under general supervision of the Research Study Coordinators, the Office Assistant will assist with the implementation of research studies involving human subjects.
DUTIES
*Maintain regulatory files/binders, including assisting with filing, faxing, copying, and organization of files.
*Assist with study procedures (organize equipment, get dry ice etc.)
*Create subject source document binders and prepare study documents for each subject visit.
*Assist with sample preparation and shipment to local and central laboratories.
*Transcribe subject interview data to case report forms.
*Assist with data entry into computers (Excel spreadsheets and graph programs).
*Maintain office supply and lab kit inventory.
*Order medical records and copy medical records for source documents as necessary.
*Compose and place subject recruitment advertisements.
*Perform related duties as required.

Description: PURPOSE: This position supports the operations of the Clinical Performance Lab in the College of Nursing.
ESSENTIAL JOB FUNCTIONS: Provides reception services including interaction with students and faculty in person and on the phones. Responds to questions or refers customers to appropriate contacts. Greets visitors; answers telephones; provides and receives information of both a routine and confidential nature. Maintains supervisor's calendar including scheduling appointments without direct supervisory input. Makes travel and meeting arrangements.
Serves as point of contact for event scheduling with external facilities and coordinates all nursing faculty requests for event scheduling at Swedish Medical Center facilities. Maintains standardized testing calendar and schedules computer lab; orders standardized tests from vendor. Performs general clerical/secretarial support duties: word processes letters, memoranda and reports from abbreviated notes, tapes and records for supervisor's signature; photocopies materials; maintains filing system; sorts and distributes mail.
Tracks and monitors office supply inventory and arranges for replenishment of items as necessary. In collaboration with Operations Manager, places medical supply orders and maintains database for supply & equipment tracking. Develops purchase orders and tracks active invoices; maintains petty cash accounting system. Maintains the lab schedule, receives and confirms reservations.
SALARY: Hiring range of $25,500 to $28,200 based on skills and qualifications.

Requirements:
MINIMUM QUALIFICATIONS: High School diploma (AA degree preferred) and two or more years administrative office support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Must possess word-processing, database, data entry, report generation, and spreadsheets skills as well as keen attention to accuracy and detail. Must be proficient in Microsoft Outlook and Access. The ideal applicant will possess excellent interpersonal skills and the ability to successfully interact with diverse individuals and groups, including maintaining composure during stressful situations.
Must have flexibility to adjust work hours to accommodate lab and course schedule and occasional weekend tours. Must be willing to learn basic operation (e.g. powering on) of nursing simulators.
