Medical Front Desk/Patient Intake Job Description: Effectively communicates with patients the importance of complete and accurate registration information. Assigns patient identification # (UID) to new patients. Ensures that patient records are not duplicated and requests merging of duplicate patient records. Enters verified, new or updated demographic information in Epic for patients (including donors, research subjects and corporate accounts). Solicits and/or receives registration updates from patients, designated family members, and/or health care providers via face-to-face, telephone, fax or electronic interactions. Enters verified, new or updated financial information in Epic for patients and donors. Reviews financial sponsorship for persons registered and ensures appropriate financial codes are assigned. Ensures proper filing order of coverage. Assists in identifying need for additional payer plans Checks for accuracy and flow of Epic registration-driven sponsor codes in the PFS system Prints patient identification cards (Green Cards) to the addressograph machine and patient face sheets from Epic and Gateway system for distribution to HIM, patient, and/or other departments as requested and per procedures. Works closely with internal departments to assure timely and accurate update of registrations. Accurately registers donors (OD, NMDP, Gift of Life and Department of Defense) in Epic and documents appropriately in PFS. Answers phone in a timely manner, including returning calls from voicemail or messages. Checks and completes incomplete registrations in the work queue. Actively researches/resolves registration errors. Greets patients and visitors when they enter the department. Checks in patients for PFS Consults and notifies appropriate PFS rep. Answers incoming calls to Registration department call group. Attends regular department meetings and meetings with Registration Supervisor and other meetings as requested. Works closely with Registration/Admitting/Billing staff at partner institutions to address registration problems Effectively communicates system or procedural issues to aid in correcting them. Assists in orienting and training staff as requested. Able to respond knowledgably to inquiries regarding registration procedures and requirements to patients and other departments. Uses good judgment in addressing inquires and when routing questions to others. Complies with service-area registration standards for addresses, naming conventions, guarantor assignment, changes to patient identifiers and other policies. Assists in clearance of patient lab charges pending ICD-9 codes in Gateway through interpretation and entry of Epic coverage into Gateway contract screen. Triage general Customer Service questions and assist Customer Service with checking balances in the billing screens and processing of payments and co-pays. Provides accurate general and specific information to patients and visitors. Explains and verifies patient understanding of consent and obtains signatures on Consent for Care, Finance Agreement, Notice of Privacy Practice, Release of Information, and other documents as required. Documents receipt/signature of Notice of Privacy Practice in Epic. Determines eligibility of patients for Charity Care and assures that registration reflects eligibility. Reviews list of arriving patients to ensure that registrations are complete, accurate and up to date. Confirm Medicare coverage in Common Working File (Noridian).
